When you import a sales statement, most lines link to your catalogue on their own. The lines that don’t are listed as unmatched items, and those sales cannot be paid out until they are matched. Details AI searches your catalogue for each of them, shows you what it found and how sure it is, and matches the lines you accept.
In short: Open a statement marked “Matching Incomplete” under DISTRIBUTION / IMPORTS and click AI Matching in the Unmatched Items box. For each suggestion, click Accept Match or Decide Later. You can switch on Auto mode to accept everything above a confidence level you choose.
► Overview
Matching works on digital and physical statements. Details AI asks you once per identifier, not once per line. An identifier is the code the distributor sends to name the item, usually an ISRC on digital statements and a barcode on physical ones. A statement with thousands of lines often needs only a few dozen decisions.
Important: Accepting a match links every unmatched line with that identifier on all statements of this account and channel, not only the line you see. It also teaches details to match that identifier automatically in future imports. If a match turns out to be wrong, you can undo it: open the product or track it was matched to and remove the entry from its Manual Matches box.
► Where to Find This
Go to DISTRIBUTION / IMPORTS and open the statement. On the IMPORT MATCHING tab, the unmatched lines are listed under Unmatched Items. Then click AI Matching in the same box.
► How It Works
For every identifier, Details AI searches by identifier, artist, title and version, the same searches you could run in the manual match screen. On physical statements it only suggests products. On digital statements it suggests products or tracks. It also checks the tracklist of the relevant products, because a sales line often carries both the track ISRC and the barcode of the product it belongs to.
Each suggestion gets a confidence score. Only suggestions above the threshold reach you as a card. Everything else is listed with a reason, for example “nothing in the catalogue matched” or “best match only 72% confident”.
A suggestion card shows:
- the confidence and a sentence explaining it, for example “Identifier XXABC2500001 is the ISRC of track 4 on this product”
- your imported line on the left and the catalogue item on the right, with a tick on every field that agrees
- the other imported lines this one decision will match
- a few tracks of the suggested product, so you can check that your track is on it
- a warning if this identifier already has a saved match for this account
There is no Reject button. Click Decide Later and the line comes back on the next run.
► Step-by-Step
Import the file
- Go to DISTRIBUTION / IMPORTS and open a statement, or import a new one.
- On the IMPORT tab, upload your file and click Proceed Import.
Match with Details AI
- On the IMPORT MATCHING tab, find the Unmatched Items box.
- Click AI Matching in this box.
- For each card, click Accept Match or Decide Later. Click Stop Matching to end the run at any time.
- Follow the progress in the strip at the bottom of the panel, for example “Matching · 14 of 154”.
- When the run ends, download the two spreadsheets: This sitting and Whole statement. They show what was decided and what is still open.
Let Details AI accept on its own (Auto mode)
- Switch on Auto in the strip at the bottom of the panel. After ten suggestions you accepted unchanged, Details AI also offers this itself.
- Choose the level from which it may accept: 97% (exact identifier), 92% (near-exact) or 85% (one field exact and the other clearly the same).
- Check the forecast. It shows how many of the suggestions so far would be accepted automatically and how many would still come to you.
- Click Start. Details AI now accepts every match at or above your level. Anything below still comes to you as a card.
- Click Pause to stop further automatic matches. Matches already made stay. Abort ends the run.
Context: A wrong match moves royalties to the wrong artist, and it affects every line with that identifier. That is why Details AI keeps its confidence scores on the careful side and only shows you suggestions it can back up.
► Tips / Notes
- Lines that found nothing usually mean the product or track is not in your catalogue yet. Add it, then run the matching again.
- Getting a statement to zero often takes two or three runs with catalogue work in between.
- Lines without any identifier cannot be matched by Details AI.

- The Run ID Matching button in the Unmatched Items box is a different function. It links lines whose identifier already matches the catalogue exactly, without asking.
